Offshore contractors from freelance websites may offer competitive rates but often lack commitment as soon as they get a slightly better offer. Low cost freelancers based in developing countries may also struggle to meet deadlines due to unreliable internet and power outages. Outsourced staff from a full service provider will also significantly reduce your business costs while delivering more reliable results with professional support services. After completing the recruitment process the client signs the outsourcing agreement and is required to pay a security deposit in advance of the monthly invoice amount that includes the staff remuneration and management fees. This security deposit is fully refundable at the end of the agreement when the account is settled. The client will also be charged a proportional amount in advance for the remainder of the current month based on the start date of the new outsourced team member.

Monthly invoices are emailed on the 20th day of each month and automatically charged on the 1st day of the next month with payments via credit card or direct debit. Automated payments save clients the time and effort of manually processing overseas transfers. Payments in advance ensure our management services continue without interruption and your outsourced staff are paid on time.

We offer a simple month to month outsourcing agreement that you can end at any time without any exit fees or penalties by providing 30 days notice in writing via email. The client will be charged a proportional amount for the remainder of the final month based on the end date of the agreement. When the account is settled including amounts for staff overtime and proportional 13th month bonus the security deposit will be refunded.

As your outsourced team grows it may become more economical to set up your own independent offshore operation. Most outsourcing providers restrict clients from directly employing existing outsourced team members with non-compete, restraint of trade and staff buyout clauses. However we offer flexible agreements and our incorporation service can assist you with setting up a Philippines based company, opening a bank account and office leasing. We can then release existing staff if they accept your new employment offer that ensures they continue to receive all their entitlements, rights and protections under Philippines law.

Yes, we can provide Dedicated Staff on a part time basis with remuneration and benefits in proportion to hours worked however our Management Services will still be charged on a full time basis due to fixed costs including office rent, computer hardware and software licences. Alternatively we can also provide Project Staff on a daily, weekly or monthly basis to assist with your short term or urgent requirements.

No, all outsourced staff we provide are based in our office to ensure reliable internet, data security, support services and team supervision. Our modern office facilities also assist staff to be more productive with large workstations, ergonomic chairs, air conditioning and abundant natural light providing a comfortable working environment.

While the client signs our Outsourcing Agreement to start services on a monthly basis the outsourced team member signs our Employment Contract to start the new role. As the Employer Of Record we ensure outsourced staff are paid the required remuneration and benefits including salary, overtime, allowances, mandatory contributions and healthcare insurance. Although outsourced team members are directly employed by us they work full time and exclusively for you on your projects.

When recruiting a new outsourced team member our process includes; advertising the role, screening candidates, presenting suitable resumes and portfolios, arranging video interviews, proficiency tests, skills tests, personality tests, background checks, criminal record checks, medical exam, negotiating salary, confirming start date, signing Non Disclosure Agreement (NDA) and employment contracts. This process can often require up to 6 weeks for the new team member to start the new role including the notice period required when resigning from their previous role.

When onboarding a new outsourced team member our process includes; office orientation, policies and procedures training, occupational health and safety training, cultural training, setting up IT services, setting up building security access and a group video call with the new team member, client and success manager to answer any questions when starting the outsourced role.

New team members have a 6 month probation period with evaluations at 3 months and 5 months after starting. If they are not preforming to the level required for the outsourced role their employment contract may be terminated at any time during the probationary period. After 6 months employees become regularised and are entitled to all the benefits of permanent status including paid sick leave and paid vacation leave.

Our Recruitment Guarantee ensures that if your new team member is not performing to the level required for the outsourced role within the first 3 months we will find a suitable replacement at no additional charge. We can provide training to support your outsourced team member during their probation period however another recruitment fee would be charged if the client required a replacement after 3 months.

Our employment contracts require outsourced staff to provide at least one month of notice in writing when resigning according to Philippines law. Salaries are also paid bimonthly in arrears to encourage staff to comply with this notice period. When outsourced staff resign we notify the client immediately and can start the recruitment process for a new team member as soon as requirements are confirmed. To ensure staff have a smooth handover we can assist the resigning team member to document tasks of the role with screen recorded videos. These training videos will ensure the new team member can quickly learn their new role to minimise interruptions for your business.

Our managers will supervise your outsourced staff to ensure they arrive on time and login to their computer by the start of their shift. We also provide weekly productivity reports with details for programs used, websites visited, keyboard activity, mouse clicks and screenshot images recorded at up to 5 minute intervals. Our office has Closed Circuit Television (CCTV) cameras with access via computer browser or smartphone app so you can remotely monitor your offshore team at any time from any location. However the best way to check on your teams productivity is simply to start a video call and ask them for an update.

You can contact your offshore team at any time during your business hours using your preferred video conference software including Microsoft Teams, Zoom, Google Meet or Skype and online chat programs such as Slack or Google Chat. Many of these programs offer screen sharing and mouse remote control features to assist you with providing instructions, delegating tasks, reviewing progress and quality controlling results for your projects. To communicate with your outsourced team members after business hours just contact your success manager and they will forward a message or arrange a call if required.

We have multiple layers of hardware and software protection to secure data transfers between onshore and offshore networks including; firewalls, anti virus, anti spyware, anti malware, password management systems, disc encryption using Trusted Platform Modules (TPM), Virtual Local Area Networks (VLAN) and physically separated networks for offshore teams on request. Your outsourced team members also sign our Non Disclosure Agreement (NDA) and employment contracts that explicitly state any information produced by an outsourced team member while performing the duties of the outsourced role is the clients exclusive intellectual property.

When the employee works more than 8 hours in a day on standard work days they are paid 125% of their regular rate for any overtime hours. When the employee works from 10:00pm to 6:00am (Philippines Time) on standard work days they are paid 110% of their regular rate for any night shift hours. When the employee works on a weekend they are paid 130% of their regular rate. The employee is entitled to a rest day of at least 24 consecutive hours after working 6 consecutive days and can choose their rest day based on religious grounds. Overtime hours cannot be offset with undertime hours on another day as the overtime rate is higher than the regular rate for hours not worked according to Department Of Labor and Employment (DOLE) regulations. Any overtime the offshore team member works will be itemised and shown at cost without any markup on the clients monthly invoice.

The Philippines has around 20 Public Holidays per year including Regular Public Holidays and Special Non Working Days. For a Regular Public Holiday if the employee did not work they still receive 100% of their regular pay and if they did work they are paid 200% of their regular rate. For a Special Non Working Day if the employee did not work they receive 0% of their regular pay and if they did work they are paid 130% of their regular rate. As the Employer Of Record we will ensure outsourced staff are paid the required remuneration according to Department Of Labor and Employment (DOLE) regulations. Your offshore team will receive public holidays based on your onshore calendar to ensure they are available during your business days without interruption from any unexpected overseas public holidays.

This long standing tradition is mandatory under Philippines law and entitles employees to receive a payment equal to one twelfth of their total basic salary earned during the calendar year. The bonus is calculated on a proportional basis during the employees first year from when they start working and final year to when they finish working. This payment should be received before December 24th each year according to Department Of Labor and Employment (DOLE) regulations. This amount will be itemised and shown at cost without any markup on the clients monthly invoice.

After a 6 month probation period the employee is regularised and entitled to up to 5 days of paid sick leave per year and 20 days paid vacation leave per year. These entitlements must be accrued before they can be used otherwise any time off is treated as unpaid leave. Outsourced team members must notify human resources before the start of their shift when taking sick leave so clients can be notified via phone call and email as soon as possible. Outsourced team members are required to provide at least 2 weeks notice when requesting vacation leave and clients are able to approve or deny leave requests via our online staff management system.

The standard work hours for offshore team members is 8 hours per day over a 9 hour shift including 1 hour of unpaid breaks for 40 productive hours per week. Your offshore team shifts are based on your onshore business hours with adjustments for daylight savings based on your timezone.
